Terms and Conditions

Your photo shoot

A booking fee must be paid to secure your photo shoot. This booking fee is non-refundable and will be lost if you do not turn up for your shoot. If you need to change the time of your shoot, please give me as much notice as possible.

If you have booked me to attend an event that can’t be rescheduled, in the unlikely event I am unable to attend, I will refund your booking fee in full. However no further financial compensation will be expected or sought by you.

The booking fee entitles you to a pre-shoot consultation. What this entails will depend on your needs and the complexity of the photo shoot. The consultation can be done by phone and/or e-mail, or in person at my studio. It is strongly recommended that you take advantage of this.

Your viewing

Unless agreed otherwise, all viewings will take place in my studio. This is when you decide what products you want to purchase.

I recommend young children are not brought to viewings if possible. They will probably get bored and become a distraction.

Please make sure all decision makers (including the person who is going to pay) come to the viewing. This is extremely important, because viewings take time, and if it is necessary to book another session because a key person is absent, I will charge £100 for a second viewing session.

Usually most of the photos you see will be “finished and ready for sale”. But in some cases additional retouching may be required. I will discuss this with you on a case-by-case basis.

Compositing and artwork

Compositing and artwork are highly skilled and time consuming. I will quote for these on a case-by-case basis.

Payment

Payment needs to be made in full at the time of ordering so it is very important that the person who is paying is present at the viewing. In all cases, payment in full must be made before delivery of any products.

For clients ordering an album, I will go through the various options at the time of ordering, so you can choose your preferences (eg page size, number of pages, etc). After I have designed your album, I will make a digital proof available for you to inspect. At this time you can make one edit (meaning a range of changes). This will be your only opportunity to make changes.

In the unlikely event a customer changes their mind after the initial order has been made, the customer is liable to a 30% cancellation fee. If the order, or part of the order, has already been sent to the lab, no refund can be given.

Delivery

Unless otherwise agreed, customers will collect their purchases from my studio.

Copyright

The photographer (Ian Trayner) will at all times own the copyright to his photographs. Any kind of copying or reproduction of the photographs is forbidden without express written permission from the photographer. Please note that any unauthorised copying or printing is copyright theft. This comes under criminal law in the UK.

Please note I retain the right to use and publish my own photographs. However I do not wish to embarrass shy clients, so if you prefer that I don’t use or publish your images, please tell me, and I will be happy to oblige.

Clients who purchase high resolution digital files will receive a licence that gives you permission to make your own copies, and to use the files to make physical photographic products. You will also be given a low resolution file of the same image for sharing on social media etc.

Clients who have bought photos in any physical product (e.g. wall art or photo album) will be given complimentary low resolution digital files of those photos. These are suitable for viewing on phones and social media and you may share them however you wish, as long as you don’t make any changes to them. They will have a discreet watermark and they are not large enough to make prints.
